Installation:

The Epic CD contains an industry standard installation routine which makes installation of the software a very simple process. Many users elect to contract with a local hardware services provider for the purchase and setup of their hardware and the installation of the software. This is a very cost effective approach which assures that, in the event of a hardware failure, service is available locally in a short time. Unlike many PMS vendors, White Wolf Software does not require you to purchase the hardware through us.

Once you've made the decision to install Epic, the process of installation is generally as follows...
 

  • Call White Wolf Software at (707)987-4597 or email us at mailto:info@epicsoftware.net to coordinate the installation and discuss any details pertaining to your implementation. We'll send an invoice to provide you with an accurate breakdown of the cost and options you select.
  • Once your check is received, we'll send you a CD containing all the required software and a hardware device called a dongle, which enables the software. Because the dongle must be programmed with your hotel's information, please allow two weeks before shipping.
  • A qualified local hardware technician should be contracted to install and set up your hardware. If you wish, White Wolf Software can provide an installer on a daily basis. Below is a list of tasks which the technician will need to perform, so that you can assure that they're comfortable with what will be required...

Press the "Print" button on your browser to print a hard copy of this information if you wish to provide it to the technician contracting to install your system.

 

  1. Setup and install the computer(s). In a network environment you'll need to set up the network to use the TCP/IP protocol. The "C" drive on each machine should be marked as shareable. By convention, we recommend that the network name of the file server be "SERVER" but this is not a requirement of the software. We also recommend that "Quick logon" property of the Client for Microsoft Networks service be selected. Again, this is not a requirement of the software but it does facilitate support.
  2. Install the software. We use the industry standard InstallShield installation program so installing Epic is the same process you'd use to install almost any other Windows product.
  3. Install DCOM (a program included on the CD) if you're using Windows '95. If your using Windows '98 or NT, this step is not required. When you run this application it simply asks "Ok to install DCOM". Click on "Yes" and this process is complete.
  4. If you're installing the software in a network environment, you'll need to run SETNAME (included on the CD) on each machine. This is a simple program that allows you to indicate the network name and path of the file server so that each workstation knows which machine to communicate with.
  5. If the call accounting interface is to be installed, a serial cable must be strung between the call accounting device and one of the computers. The call accounting interface has settings which allow you to select the communications parameters (such as baud, comport, etc.) which must be set to match the call accounting device. Assistance is available by phone if any questions arise during this process. See A sample interface for sample screen shots.
  6. A hard disk backup process should be established and demonstrated to the hotel staff. We recommend removable cartridge drives such as a SyQuest drive or Iomega's Jaz drive rather than a tape backup because they're simpler to back up to and restore from.
  7. If the user is upgrading from White Wolf Software's pms product, you'll need to run CONVERT (included on the CD) in import the data from their InnSure program into Epic. Assistance is available by phone for this process.

 

Some other assistance to assure that the installation is as smooth as possible...
Once the software is installed, the hotel's floor plan must be created. Though this is typically done by the end user, the installer should assist where possible. Experience with any paint program is helpful (but not required) to enhance the appearance of the floor plan display. If you have a digital camera available, the user may wish to incorporate images of their rooms into Epic. This allows the user to see a picture of a room when they click on that room.
